What is Pro/Data on the Web
Pro/Data on the Web is a payroll service and human resource solution provided by Pro/Data Payroll Services, Inc. Pro/Data on the Web provides real-time, secure payroll processing over the Internet and can be accessed 24 hours a day, 7 days a week using a simple web browser. In addition, companies have the option of allowing employees to view or update their own profile data (such as w-4 forms, dependent information, etc.).
Do I have to use the Internet to use Pro/Data?
In addition to using our web browser-based application via the internet, a non-Internet client server is also available. It works the same as our internet service does, only it is all run from your server. You transfer your files to us for backup purposes. And don't forget, you can still use Pro/Data Payroll services for your payroll needs via phone and fax. We recommend the web-based implementation because of the added control and ease of administration that it gives you.
Why do you say that Pro/Data on the Web is the only true Internet payroll solution?
Some other payroll companies are attempting to migrate their existing payroll technology to the Internet. However, only Pro/Data on the Web was created from the ground up using the latest Internet technologies to build a fast and scalable solution right out the gate. Pro/Data on the Web is a real-time Internet solution vs. Batch process model offered by others. It is more user friendly, more scalable and built from the ground up with Internet security in mind. We do not believe any other solution matches the benefits and security of Pro/Data on the Web.
How is using Pro/Data on the Web more efficient?
Pro/Data on the Web enables clients to complete the payroll process in a single session without having to re-visit the payroll process to check payroll runs, make error corrections, etc. as is typical from other service organizations. In addition, Employee Self Serve provides clients with an option to allow employees to make profile changes on their own accounts without having to complete paper work and submit it to HR. Rather, by providing Employees password-protected access via the Internet through a standard browser, employees can make updates to their profile. In addition, Pro/Data on the Web can save a tremendous amount of time for HR staff by providing another conduit for Benefit Provider enrollment. Not only will this provide the enrollment data to Pro/Data customers, Pro/Data on the Web is also working to make it possible to link data collected in the payroll and HR processes with Benefit Administration companies as a means to eliminate redundant data entry and inconsistencies in data. These links will make the enrollment process more efficient and add to the improvement of data quality.
Does the Pro/Data on the Web solution include Wizards?
Wizards are available in several sections of the product including payroll, self-service, and HR modules.
What do you mean by "Wizards"?
"Wizards" refers to the ability to set up a process that is then guided by Pro/Data on the Web. For example, when hiring a new employee, there are certain steps that need to be followed, information that needs to be entered and usually approvals from different people in the company. Pro/Data can manage this process and inform each person of the action needed by them at the right time. Everything gets done, in the right order without anything falling through the cracks.
After I enter my payroll numbers, how long is it before payroll totals and summary numbers are available?
All results are available immediately. You can even review individual checks before they are run.
Once I have entered my payroll, who prints the checks and how do they get to the employees?
The choice is yours. Pro/Data can print all checks and deliver them to your office locations per your instruction as soon as the next day, or, you can print them yourself, on site.
What do you mean by a standard browser?
A browser refers to the software used to view web pages on the Internet. The most common browsers are Internet Explorer and Netscape Navigator, and these are referred to as "standard" browsers. America OnLine is essentially the same as using Internet Explorer. Pro/Data on the Web can be used with version 4 or greater of any of these.
What technology does Pro/Data on the Web use?
Pro/Data on the Web was created using the industry's best technologies. However, from the client side, you will only need to use a standard browser on a normal desktop computer.
How many users will the Pro/Data on the Web system support?

What operating system environments can the Pro/Data on the Web product support?
Pro/Data on the Web will run from any WINDOWS system as long as you have a standard browser and an Internet connection.
Can Pro/Data on the Web handle complex formula calculations for both benefits and deductions?
Pro/data on the Web has a definable formula management system incorporated into it that allows end users to easily choose their calculation formulas. The result of one formula can be used in another. In order to perform union calculations, 401k matches and a multitude of complex percentage and flat calculations, users can simply pick the formula.
Does the Pro/Data on the Web product compute the taxes and provide filing capabilities?
Yes. Pro/Data provides a full US government compliant tax package. This incorporates a tax engine that includes all federal, state, and local calculations, including school districts, as well as the filing reporting for all of those jurisdictions. Besides doing all of your tax filing for you, Pro/Data also takes the liability for all deposits and filings performed by us.
Can an employee work in multiple states in the same pay period and receive one check covering all?
Yes. Pro/Data on the Web allows an employee to work in multiple states in a single day, if necessary. At the end of the pay period, it will calculate all the proper government compliance taxes based on hours worked in various jurisdictions, and put them all on one check. Tax rates are updated monthly.
How much historical data will Pro/Data on the Web hold?
All data can be stored past, present and future for as long as a client wants to store it. Therefore, you could have two, five or ten years of history real time available on the system.
Can I track labor expenses by job, product, location, department, etc.?
Yes. Through our time sheet entry, each line of time for an employee can be assigned to a department, job project, and location. With job costing and departmental costing reports, we capture and store all this data, and can report it any way desired.
Is the human resources product integrated with the payroll system?
Pro/Data on the Web's payroll and human resources all reside in one integral database. This provides a faster, more comprehensive solution with better accuracy across systems.
Do the employees of a company have self-service access to their HR and Payroll data?
If a company so chooses, employees can view and change employee specific data like number of dependents, W4 information, address changes, marital status changes, etc. They can also be allowed to view vacation and sick time balances. The exact access level is determined by the company.
What additional modules are integrated with Pro/Data on the Web's product line?
In the near future, Pro/Data plans to add Employee events tracking, Document tracking, E-mail notification, Claims tracking, Applicant tracking and a Health and safety database.
Can Pro/Data on the Web handle automatic deposits?
Yes, you can set up any number of automatic deposits per paycheck. Employees can even have partial amounts deposited into different accounts and/or still get a partial check. The first three bank accounts per check are free.
How much does Pro/Data on the Web cost?
Pro/Data on the Web results in lowers payroll costs and lower fees than any other solution that we know of. Payroll Processing fees are based on the number of checks produced per pay period.
